Job Description

OPEN POSITION: Office Agent Class I Position Under the Responsibility of Finance Services (Replacement)

LOCATION OF WORK: Post-Secondary Student Services (Montreal)




Under the general direction of the Director of Finance, the principal and customary role of an employee in this class of employment consists of performing a variety of administrative functions according to methods and procedures of a relatively complex nature, for post-secondary student services and for the office of the Finance department of the Cree School Board.



Financial Support Responsibilities

Provide information to students and other staff members relating to the financial aspects of the Post-Secondary Student Services as required;

Verify and process invoices and claims from suppliers/students, along with all supporting documents (childcare, school expense claims, summer rent, travel expense claims and moving suppliers) and forward to appropriate personnel for payment;

Assist with the financial activities, such as end-of-year procedures and submitting payments to Director for approval/ signature;

Responsible for the distribution of payments to students and suppliers;

Assist with verification of eligibility and payment processing for various Post-Secondary Student Services initiatives (completion of studies, college incentive and computer subsidy);

Administrative Support Responsibilities

Assist with the audits of student files (digital and hard copy files) for missing documents and report to the appropriate personnel for
follow up;

Responsible for financial filing according to established procedures (setting up files for suppliers and student financial files);

Compile data, perform simple calculations and prepare documents and reports as required;

Work with others on the analysis of the student clientele’s needs, participate in developing work standards, in order to improve service levels;

Make recommendations related to the inhouse data system and other software used, in order to increase efficiency;

Use a computer and the various software required;

Perform routine clerical duties;

Perform any other related duty in support of the Director of the Post-Secondary Student Services and the office of the Finance department of the Cree School Board.



Hold a Diploma of Vocational Studies in a specialty appropriate for the class of employment, a Secondary School Diploma or a diploma or an attestation of studies recognized as equivalent by the competent authority;

Have at least one year of pertinent experience;

Have a basic knowledge of office automation;

Written knowledge of English is a requirement;

Fluency in English and Cree is a requirement;

Working knowledge of French is an asset.



Temporary Full-Time replacement
35 hours/week

Salary: $20.76 to $23.22/hr

Northern Allowance: $8,484.00 to $13,573.00
