Montreal – Post-Secondary Student Services


Under the supervision of the Director of PostSecondary Student Services, the Administrative Officer (IT) is pivotal and a multidisciplinary role for PSSS. Working closely with IT, the incumbent will help develop strategy, manage projects, a data steward, responsible for data quality and analysis. Specifically design Reports, Dashboards and Key Performance Indicators (KPIs) to generate actionable metrics and insights to drive services levels & PSSS performance.


  • Ensures implementation of the new PSSS Student Administration System. Including, define/refine scope & requirements, set priorities, approve budgets & timelines, help resolve issues and provide overall management of the project.
  • Assists and collaborates with IT members assigned to various information systems, keep colleagues informed, anticipate issues, share best practices and help set policies when required.
  • Participates in continuous improvement initiatives, including align, adopt, and contribute to the CSB S.A.P (Strategic Action Plan).
  • Participates in various other I.T. related projects or tasks aimed at improving the customer service of the department.
  • Prepares and provides reports and information for use in management decisions by collecting, analyzing data
  • Help set Department and Services KPIs (Key Performance Indicators). Monitor, measure, manage these KPIs, including take action to improve on the KPIs
  • Establishes and improves work methods to respect schedules as per the I.T. and PSSS policies and guidelines, set timeline and checklists.
  • Collaborates with the PSSS team and Clientele to work on Continues Improvements for PSSS technology and communication tools.
  • Ensures office equipment and software in the department are well maintained for smooth operations.
  • Communicates with people internally and externally in matters related to IT Services and IT project within the PSSS department.
  • Ensure the planning, organization and coordination of project operations are managed and in compliance to project budgets and deadline deliverables.
  • Contribute to the Project Steering commit meetings.
  • Update processes, procedures, tools, documents, and functionalities.
  • PSSS resource-person for tools and technologies within PSSS for questions and issues resolutions.
  • Responsible for data security and integrity.
  • Analysts Role Components:
    • Application Liaison to IT and potential external resources.
    • Responsible for Application Requirements, Role definitions, UAT (user Acceptance Testing).
    • Authorization of Applications access based on role profile.
    • Facilitate new process implementation or modification to existing process, associated with the application implementation.
    • Escalate issues to IT or 3rd party IT Services providers and ensure satisfactory resolution.
    • Application Communication (deadlines, down time, backup, etc..) – Maintenance processes.
    • Custodian of Application enhancement request, reporting requirements and data extract requirements.
    • Responsible for data quality, identification of anomalies and discrepancies, and implement corrective measures – “Data Steward”


  • Hold a College Diploma with an appropriate option (DEC).
  • Minimum three (3) years’ experience related to IT project management experience in areas considered relevant, especially in IT software implementation and support, but also in hardware and software end user support, and implementation of new technologies.
  • Project Management certification (asset).
  • Familiar with Helpdesk procedures and tasks (asset).
  • Bilingual (English and French).
  • Knowledge of Cree (asset).
  • Available to travel.

  • Understanding of the ‘Scrum’ methodology is an asset (Rapid Development and implementation)
  • Programming expertise, including Application Testing (Coding, programming languages)

  • Regular, Full-time position
  • 35 hrs/week
  • Annual Salary: $68,705.00 to $91,605.00
  • Northern Allowance: $8,484.00 – $13,573.00
  • *Given the current salary regulations and guidelines at the Cree School Board, candidates from another Quebec School Board will be able to obtain a salary as per the scale above-mentioned. However, candidates that are not from the education sector are not eligible to a salary above the midpoint of the position’s salary scale.
